We understand that you are facing challenges while managing the email id
mc@mcgm.gov.in mainly due to:
1. Heavy mail flow happening per day
2. Multiple users operating this account
Following are the problems reported:
1. Not able to send mails
2. If I goto 100th mail and reply then it refreshes and comes back to first mail
3. 4-5 people are working simultaneously and tend to work on the same mail
4. while sending mail if it does not work then cannot work on another mail till its being sent, I have to cancel it
We propose the below configurations in the account for efficient working:
1. For all people, do the following settings:
a. Refresh - check for new messages - never

b. Compose in a new window - true

2. All people working on the email have folders in their names

3. One person is designated to assign mail - who will
a. refresh the inbox and drag and drop mail to different folders

4. People will check for mail within their folders and answer to the same.

5. Configure Mail Filters to segregate the important emails to different folders which are coming from predefined domains

6. Alternatively, configure outlook using IMAP on every desktop where the account is being accessed
We are sure that this will definitely give a boost to the current activities. We will be sharing the detail HOW TO document on the above recommendations.
We are open to visiting the MC Office to address the issues. But during this pandemic situation, we will require transportation support from MCGM due to Lockdown conditions. The Travel Pass for 7 days will also be required to be issued for the support personnel visiting MC Office.
We are also available to take the remote session to do the configurations and guide the people who are operating this account.
