Overview
The Vaultastic Usage Dashboard provides administrators with visibility into usage and storage across the organization.
The dashboard can be used to monitor:
- Vault access and activity
- Email archive growth
- File archive growth
- Storage consumption across Vaultastic stores
The dashboard is divided into the following sections:
- Access
- Active Store
- Open Store
- Deep Store
Each section supports:
- Daily view – data for each day within a selected month
- Monthly view – aggregated data for each month within a selected year
- Chart view – graphical representation
- Table view – detailed data
Regularly monitoring this dashboard helps ensure that archival operations are running as expected and that storage usage remains within planned limits.
Accessing the Usage Dashboard
To open the Usage Dashboard:
Log in to your Vaultastic domain using an admin Vault ID.
From the Application Switch, click the Usage Dashboard icon.
The dashboard opens in a new browser tab.
At the top-right corner of the dashboard:
Select the required Vaultastic domain from the drop-down list.
Enable Show Organization Data to display aggregated statistics across all domains in the organization.
Use the navigation icons to switch between the dashboard sections.
Viewing Dashboard Data
Each section provides the following options:
Time Selection
- Daily View
Displays usage statistics for each day of a selected month and year - Monthly View
Displays aggregated usage statistics for each month of a selected year
Display Format
- Chart View – graphical summary of trends
- Table View – detailed numerical data
Organization-Level View
- When Show Organization Data is enabled, table data is aggregated across all domains
If data is not available for a given date, the dashboard displays –.
Access Section
The Access section displays statistics on vault usage.
Vaults represent the identities used to access archived data in Vaultastic.
This section helps administrators monitor:
The number of active vaults
Vault access types
Vault creation and deletion activity
Vaults where archival may be missing
Access Metrics

| Self-Service Vaults | Vaults with self-service access |
| Full Access Vaults | Vaults with full access permissions |
| No Access Vaults | Vaults without assigned access |

| Missing Vaults | Vaults where email archival did not occur on that day |
| Deleted Vaults | Vaults removed by an administrator |
Click any cell in the table to view vault details in the detail panel.
Monthly usage is measured in User_days, which represents the number of vaults active over time.
Active Store Section
The Active Store section shows usage statistics for the email archive.
This section helps administrators monitor:
Rmail archive growth
Storage consumption
Daily email ingestion activity

The Open Store section provides statistics about archived files stored in the Open Store.
This section helps administrators monitor:

Data Interpretation Notes
- User_days: Total number of vaults active over a period (vault count × number of days active)
- GB_days: Storage consumed over time (storage × number of days stored)
- Daily values represent activity for that specific day
- Monthly values represent aggregated totals
Data Availability and Limitations
- Data is available only from the time the dashboard was enabled
- Historical data prior to feature activation is not shown
- Missing data is displayed as “–”
- Aggregated organization data depends on availability across domains
Permissions Required
- Access to the Usage Dashboard requires administrator privileges
- An organization-level view requires access to multiple domains
Troubleshooting
