Summary Dashboard
The Summary Dashboard provides administrators with a consolidated view of the health, usage, and configuration of their Vaultastic deployment. It brings together key operational metrics, storage statistics, user activity, data movement, and domain configuration into a single dashboard, enabling administrators to quickly assess the overall state of the system.
The dashboard is designed to answer common administrative questions such as:
How is storage being utilized across the Active, Open, and Deep Stores?
How many users are accessing Vaultastic and how is usage changing over time?
What activity has taken place across Vaultastic applications?
How much data has been imported into or exported from Vaultastic?
Which data sources and connectors are configured for each domain?
What storage management and vault policies are currently in effect?
Most widgets support filtering by Year, Domain, or other relevant criteria, allowing administrators to analyze metrics at both the organization and domain level. Widgets can also be refreshed individually to display the latest information.
The Summary Dashboard is intended to provide a high-level operational overview. Where detailed analysis or configuration changes are required, each widget serves as a starting point, guiding administrators to the appropriate dashboards or administrative pages for further investigation.
Widgets
Storage Usage
The Storage Usage widget provides a month-wise view of storage consumed across the Vaultastic Active, Open, and Deep Stores.
By default, the chart displays the total storage usage (GB-days) for all domains in your organization for the current calendar year.
You can customize the view using the available filters:
- Year – Select a different calendar year to view historical storage usage.
- Domain – Select a specific domain to view storage usage for that domain only. By default, usage is aggregated across all domains.
- Avg / Total – Toggle between:
- Total – Displays the total monthly storage consumption in GB-days.
- Avg – Displays the average daily storage usage (GB) for each month.
The chart plots storage usage separately for the Active, Open, and Deep Stores, making it easy to understand storage distribution and growth trends over time.
Note: GB-days represent cumulative storage usage over a month and are typically used for billing calculations. Average (Avg) mode converts this into the average amount of storage occupied per day during the month.
Audit Stats
The Audit Stats widget provides a month-wise summary of user operations performed across the different Vaultastic applications.
By default, the chart displays the total number of operations for all domains in your organization for the current calendar year.
You can customize the view using the available filters:
- Year – Select a different calendar year to view audit activity for that year.
- Domain – Select a specific domain to view audit activity for that domain only. By default, activity is aggregated across all domains.
The chart displays the number of operations performed in each Vaultastic application, enabling administrators to monitor application usage and identify activity trends over time.
Note: This widget provides a high-level summary of audit activity. To view detailed audit records or download audit trail logs, navigate to the Audit Trails dashboard.
Data Import / Export
The Data Import / Export widget provides a month-wise summary of the volume of data imported into and exported from Vaultastic using LegacyFlo.
The chart displays the total data transferred, in GB, over the last six months.
The following activities are tracked:
- Import – Data ingested into any Vaultastic Store (Active, Open, or Deep), including data migrated between Vaultastic Stores.
- Export – Data copied or moved from Vaultastic to external storage or applications, such as cloud storage, on-premises storage, Microsoft 365, or Google Workspace.
This widget helps administrators monitor migration, archival, and data extraction activities, providing visibility into data movement trends over time.
Note: This widget reports only data transfers performed through LegacyFlo. Data ingested or exported using other methods is not included.
User Access Trends
The User Access Trends widget provides a month-wise view of users with access to the Vaultastic Active Store and users assigned administrative privileges.
By default, the chart displays the total access (user-days) for all domains in your organization for the current calendar year.
The chart displays the following user categories:- Full Access – Users who have full access to data stored in the Active Store with the defined scope.
- Self Service – Users who can access only their own archived data in the Active Store.
You can customize the view using the available filters:
- Year – Select a different calendar year to view historical usage.
- Domain – Select a specific domain to view usage for that domain only. By default, usage is aggregated across all domains
- Avg / Total – Toggle between:
- Total – Displays the total monthly access in User-days.
- Avg – Displays the average number of users (Users) for each month.
Note: User-days represent cumulative access over a month and are typically used for billing calculations. Average (Avg) mode converts this into the average users whose access is enabled per day during the month.
Storage Management
The Storage Management widget provides a summary of the storage management and auto vault creation configuration settings for a selected Vaultastic domain.
Use the Domain drop-down list to select the domain whose configuration you want to view.
The widget displays the following information:
Storage Management
- Auto Movement – Indicates whether automatic movement of data from Active Store to Open or Deep Stores is enabled.
- Retention – The retention period after which eligible data from the Active Store is moved according to the configured storage management policy.
- Open Store Movement – Specifies whether data movement from the Active Store is based on the Domain or User policy.
- Target Store – The destination Vaultastic Store (for example, Deep Store) to which eligible data is automatically moved.
- File Type – The file format used when data is moved to the target store (for example, PST or EML).
Auto Vault Creation Configuration
- Auto Vault Creation– Indicates whether automatic vault creation is enabled.
- Mail Translation – Indicates whether email translation is enabled for the domain.
- Selective Vault – Indicates whether Selective Vault is enabled, allowing only selected users or groups to be vaulted.
Note: This widget is informational and displays the current configuration for the selected domain. To modify these settings, navigate to the appropriate Domain Configuration or Storage Management settings in the Vaultastic Administration Console.
Data Sources
The Data Sources widget provides a summary of the data source connectors configured for the selected Vaultastic domain.
Use the Domain drop-down list to select the domain whose connector configuration you want to view.
The widget groups connectors by Data Source and displays the supported Data Types for each source.
- Green indicates that one or more connectors have been configured for the corresponding data type.
- Grey indicates that no connector has been configured for that data type.
- The Active column displays the number of configured data types against the total number of supported data types for each data source (for example, 1/4 indicates that one out of four supported data types has been configured).
This widget provides administrators with a quick overview of the ingestion sources that are enabled for a domain and helps identify data sources or data types that have not yet been configured.
Note: This widget indicates whether connectors are configured for each data type. It does not display the number of individual connector instances or their operational status.
Vaultastic Usage Alerts
The Vaultastic Usage Alerts widget provides a consolidated view of your organization's licensed usage and alert configuration. It helps administrators monitor storage and user consumption against purchased entitlements and ensures that the appropriate recipients are notified when usage thresholds are exceeded.
The widget displays the following metrics:
- Active Store – Storage consumed in the Active Store.
- Open Store – Storage consumed in the Open Store.
- Deep Store – Storage consumed in the Deep Store.
- User Access – Number of users with access to Vaultastic.
For each metric, the following information is displayed:

| Usage % | Percentage of the purchased entitlement that has been consumed. |
| Purchased | Total licensed capacity or user entitlement purchased for the metric. |
| Used | Current storage consumed or number of users utilizing the entitlement. |
| Unit | Unit of measurement, such as GB or Users. |
Receiver Information
The Receiver Info panel displays the notification status for usage alerts.
- Last Alert – Date and time when the most recent usage alert was sent.
- Last Alert Receivers – Recipients who received the most recent alert notification.
- Current Receivers – Users currently configured to receive usage alert notifications.
Interpreting the Widget
- A high Usage % indicates that the purchased capacity is nearing exhaustion and additional storage or user access licenses may be required.
- If Alerts are Disabled, no notifications will be generated even if the configured threshold is exceeded.
- Use this widget to proactively monitor capacity utilization and ensure that the appropriate administrators receive usage alerts.
Important Note: The usage values shown in this widget reflect the latest available system statistics for alerts sent for any of the Mithi services and may or may not include alerts for Vaultastic metrics. Usage alerts are generated only for metrics where alerting has been enabled and notification recipients have been configured.
Estimated Storage Growth
The Estimated Storage Growth widget projects the expected storage consumption for the next 12 months based on recent storage growth trends. This forecast helps administrators anticipate future storage requirements and plan capacity before existing storage limits are reached.
By default, the projection is displayed for all domains. Use the Domain drop-down list to view the projected growth for a specific domain.
The chart estimates storage growth separately for the Active, Open, and Deep Stores, allowing you to understand how storage consumption is expected to evolve across each Vaultastic Store.
The projection is calculated using the average monthly storage growth observed over the previous 3–4 months. As additional historical data becomes available, the forecast is automatically updated to reflect the latest usage trends.
Interpreting the Chart
Each bar represents the estimated average storage consumption (GB) for a future month.
Separate bars are displayed for the Active, Open, and Deep Stores.
Use the forecast to identify when additional storage capacity may be required or when storage management policies should be reviewed.
Note: The projection is an estimate based on recent historical growth and assumes that current usage patterns continue. Actual storage consumption may vary depending on user activity, ingestion rates, retention policies, storage management automation, and data migration activities.
Note: If insufficient historical data is available for a store, a projection cannot be generated. In such cases, the widget displays a message such as "Insufficient data to project average storage growth."
