Vaultastic Production Readiness Checklist

Overview

Before deploying Vaultastic in production, administrators should verify that the system is fully configured and operational.

Production readiness includes confirming that:

  • required data sources are connected

  • continuous archival is functioning

  • lifecycle policies are configured

  • monitoring and governance controls are active

Completing these checks ensures Vaultastic can operate reliably in a production environment.


Verify Data Source Connectivity

Confirm that all required organizational data sources are connected.

Typical sources include:

  • Microsoft 365 or Google Workspace

  • SMTP / IMAP mail servers

  • Teams or Google Chat

  • OneDrive or Google Drive

  • SharePoint

  • NAS or FTP servers

  • Cloud object storage (S3, Azure Blob, GCS)

  • business applications such as CRM or helpdesk systems

Verify

  • connectors are configured for each source

  • test data has been archived successfully

  • ingestion jobs run without errors


Confirm Continuous Archival

Vaultastic should continuously capture new data generated by connected systems.

Verify that:

  • email journaling or routing rules are active

  • collaboration ingestion jobs are scheduled

  • file archival jobs are configured

  • LegacyFlo ingestion requests complete successfully

This confirms that new data is archived automatically.


Verify Storage Lifecycle Configuration

Vaultastic manages storage costs by automatically moving aging data between tiers.


Confirm that:

  • Active Store retention duration is defined

  • automatic movement to Open or Deep Store is enabled

  • lifecycle automation jobs are functioning correctly


Monitor Connector Credentials

Vaultastic connectors rely on external credentials to access data sources.

Examples include:

  • Microsoft Graph API credentials

  • Google Workspace service accounts

  • AWS S3 access keys

  • Azure Blob storage credentials

  • Google Cloud service accounts

Confirm that:

  • credential inventory is maintained

  • credential expiry dates are tracked

  • renewal procedures are documented

Expired credentials will stop archival from that source.


Monitor Ingestion Health

Administrators should monitor ingestion activity regularly.

Verify that:

  • email ingestion volumes match expected activity

  • LegacyFlo jobs do not show repeated failures

  • authentication or connectivity errors are not present


Monitor Storage Usage

Vaultastic usage dashboards provide visibility into storage consumption.

Administrators should monitor:

  • Active Store usage

  • Open Store usage

  • Deep Store usage

  • overall storage growth trends

This ensures lifecycle policies are working correctly.


Configure Access Controls

Vaultastic access should align with organizational security policies.

Verify that:

  • administrative access is restricted

  • compliance teams have Full Access

  • operational users have Self Service access where appropriate


Schedule Operational Reviews

Administrators should perform periodic reviews of system health.

Recommended review areas include:

  • connector credential validity

  • ingestion activity

  • lifecycle automation status

  • storage growth trends

Regular reviews help ensure long-term operational stability.


Production Readiness Checklist

Use the following checklist to confirm that Vaultastic is ready for production operation.

✔ All required data sources are connected
✔ Continuous archival is functioning correctly

✔ Connector credentials are monitored and managed
✔ Ingestion health is monitored regularly
✔ Storage usage is tracked through dashboards
✔ Access controls follow organizational security policies
